Registration Questions:

What is the cancellation policy?

No refunds will be provided.

 

Are single-day tickets available?

No, conference registration includes all three days. We are not able to offer a discounted rate if you are unable to attend the entire conference.

 

What is the conference’s policy regarding COVID-19 precautions?

At the time of the convening, we will follow all country-level regulations. We also encourage all attendees to mask while inside. Three masks – one for each day of the conference – and a rapid COVID-19 test will be provided to all registrants at conference registration within their delegate bags. Additional masks and tests will be available if needed.

 

Will on-site registration be available?

No, registration will close on May 31, 2023, at 11:59 pm EST, or when capacity is reached.

 

If I cannot attend the conference in person, will there be an option to attend virtually?

No, VARN2023 will not be live streamed. However, conference sessions will be published to the conference website shortly thereafter.

 

How much of the conference will be in French?

VARN2023 will provide live audio translation for all plenary and concurrent sessions as well as printed materials in French. Live translation will not be offered for posters, during the evening reception on Tuesday, or during the Sabin Vaccine Institute’s evening session on Wednesday. Depending on interest, there may be opportunities for guided discussions amongst French speakers.

What are the registration costs?

From low- and middle-income countries (LMICs): US$35
From high-income countries: US$100

 

I can’t pay by credit card; is there an alternate payment method?

Yes, if you are not able to pay by credit card, please contact VaccineAcceptance@Sabin.org to discuss other options.

 

Is travel assistance offered?

We are exploring the possibility of travel support for oral presenters, prioritizing support for presenters from low- and middle- income settings. More information will be communicated to presenters as it is available. We will also be accepting travel award applications from early career professionals who are also abstract presenters selected for poster presentations. However, for attendees not on the agenda, travel sponsorship will not be available.

Are discounts for conference registration available?

No, we are not offering discounts for attendees who are not on the agenda. We have made every effort to keep costs minimal for the conference to enable participation. Costs are significantly lower than most other global conferences.

 

Are any meals included in the registration fee?

Lunch and coffee/tea breaks are included for all three days of the conference. Additionally, refreshments will be served during the evening reception on Tuesday and during the Sabin Vaccine Institute’s evening session on Wednesday.

 Accommodations:

How do I book my hotel?

The conference will be held at the Royal Orchid Sheraton Hotel & Towers in Bangkok, Thailand. We do not have a block of rooms or a discount for conference attendees. All attendees must book their own accommodation. Registrants are not required to stay at the Royal Orchid Sheraton Hotel & Towers.

Are Continuing Education Units (CEUs) available for attendance at the conference?

No, CEUs are not offered.

 

What is appropriate attire for the conference?

Business casual is recommended, but not required. We recommend clothing that makes you feel comfortable.

 

If I’m unable to attend, may I send a substitute in my place?

If you are unable to attend and would like to send a substitute in your place, please contact VaccineAcceptance@Sabin.org

 

What conference materials can I expect to receive?

You will receive a delegate bag which will include three face masks, a COVID-19 test, a delegate booklet, and other materials.

 

How do I find out the name and location of the meeting room when on-site?

Related information will be included on the VARN2023 agenda and conferencing website closer to the event.

 

I need accessibility accommodations in order to participate in the conference. How do I communicate those to the event planners?

All abilities are welcome at VARN203. We strive to make VARN2023 accessible to the largest number of people possible and are always looking at ways to remove barriers. If you have accessibility requirements, please contact VaccineAcceptance@Sabin.org so we can work together to find a reasonable accommodation for your request.

 

Are you able to accommodate dietary restrictions?

Information about dietary restrictions will be collected on the registration form. We will do our best to accommodate all delegates.

 

Can I get a certificate of attendance?

Yes, after the conference, please email VaccineAcceptance@Sabin.org to request a certificate of attendance.

 

What are the hours of the conference?

The conference will be standard business hours, with evening sessions on Tuesday and Wednesday. More details will be announced soon.
